9 Essential Apps for Globe Trekking Event Producers

Are you an Event Professional? A Producer? A Planner? The VP of Corporate Meetings? Well then, you’re likely planning a customer meeting, a sales conference, a launch, an awards gala, or some other program somewhere near or perhaps very far. Even if you consider yourself a bit old school, and like to take notes on paper in a bound notebook, chances are, you carry a device. Here then is a list of some apps that I find are my best digital friends whether I’m headed to a site visit in Soho or on a multi day event in Singapore.   

1.Google Keep (Free) – I’ve been an Evernote user for the past several years, but when I stumbled upon Google Keep, I decided it was a “keeper.”  It is fast, easy to use, and integrates into our company workflow quite nicely. I love it for site survey note taking, maintaining a to-do list or snapping off some photos to easily incorporate into a note.  Since our company is on the Google platform (Drive) it’s very easy to share and add collaborators to the notes taken in Google Keep.

2. Tripcase (Free) – Alongside your preferred airline app, Tripcase wraps up all the details of your trip in a beautiful layout. There’s gate information, which is updated in a very timely manner, airport map, lounge availability, inflight entertainment choices, weather, and most useful, alternate flights for your booked route.

3. World Clock from timeanddate.com (Free) -This one is useful when you are working across multiple timezones.  Let’s say for example you’re scheduling a Skype with vendors and clients in Singapore, Tokyo, New York and Dubai. Just plug in the cities and on one screen you see a display of the local times in each zone.

4. XE currency (Free) – I love this app for budgeting and expense reporting.  Choose any currency and you see the conversion rates all on one screen.  It also works well for shopping!

5. Units Plus ($2.99) – This one also does currency conversion, but I use it mostly for area measures, length and power measurements when working with our technical and stage design folks around the globe.  Need to order a piece of soft goods in Croatia? Enter the lineal measurement in feet and convey it to your vendor in meters. It provides a colorful user friendly interface with lots of data options.

6. What’s App (Free) – This is our go-to for team messaging anywhere in the world.  You can establish groups for messaging the client team exclusively, the production and tech teams, as well as local partners.

7. NOAA radar pro ($1.99) – As event producers and planners, it’s typical for there to be one or more events taking place outdoors.  Having an accurate source for weather information is essential to the decision making process.  And while there are dozens of weather apps (and everyone has their favorite), I’ve found this app to be more reliable than many others.

8. FaceTime or Skype (Free) – When the day is done, love these ones for chatting with my wife and kids.

9. Fitbit (Free)  – The event life is a wonderful one – truly.  One day you may be on your feet putting in 25k steps running around a convention center, the next day you may be seated behind a computer for 14 hours.  Fitbit (or your preferred fitness tracker app) helps on those ‘office’ days by prompting me to get on the move, even if just for a few minutes.

Legend is a big believer in saying thank you and acknowledging every single person that contributes to our clients’ success. We especially love this time of year because, for a brief moment in the calendar, things quiet down for the holidays. For those of us that produce conferences, meetings, fundraisers, award shows, and corporate videos, the holidays represent a slight pause in the schedule.  A welcome few weeks to be with friends and family gives us pause to reflect on the year that was, and the new beginning that lies ahead in 2017.  

More importantly, I’d like to use this time and space to give thanks to so many people that are part of this wonderful Legendary life.   First and foremost, we want thank the many individuals that make up our team… our staff, our freelancers that are family to us, our crews, partners, and subcontractors.  This is a special group of professionals – tireless in their efforts to please our clients and their audiences, passionate about what they do, and the most excellent in their crafts.  We could not serve our clients as well as we do without the love we have for one another.

I’d like to thank the families and significant others of our our employees and freelancers.  Anyone in the event or video production business will acknowledge that it’s an extraordinary physical and mental commitment to projects – whether a one night event in midtown Manhattan, or a ten day offsite in Dubai. The time spent planning, detailing, designing, creating, emailing, editing and producing oftentimes means sacrifice.  We appreciate that sacrifice.

The More Things Change…Event Technology

I’m thinking about event technology, and at the start of the New Year, it’s an opportune time to think about where we’ve been and where we’re going in the year ahead. Generally speaking, I’m not the kind of guy that spends much time looking back, but rather forward. But to do the latter you really have to embrace the former.

So how does this apply to my favorite topic, the world of event production?

First things first, the more things change, the more they stay the same.

Last year we saw rapid development in event technology. From the apps that fuel the audience experience to pixels that deliver bright robust pictures in full daylight. From 3D printing to smart drones that know how to follow the action from the sky. These technologies are all tools in our toolbox. Yet, so often we see examples in pre-production meetings where the desire for new tools preempts the establishment of a clear and concise statement of objectives and audience expectations.

It’s not to say I’m not in love with all the new goodies, I am. They can be essential to extraordinary audience engagement. But how does it fit into the story? In what ways is it adding to the conversation? Is it advancing the objective? I think that when these questions can be answered only then can I, as an event producer, confidently support the use of new and typically expensive technologies. I’m not interested in wasting client budget. Even the need for a “wow” factor needs to be influenced by the objectives. Otherwise, it’s just a gimmick.

With all the changes, what is the same? Knowing your audience, defining your objectives, forming an event strategy and recognizing that ultimately your attendees are there for the content you are serving up.

So, the next time you’re considering a holographic image of your CEO appearing from the cat walk above, transitioning into a 3D projection of the product being launched requiring Polarized glasses, please be sure to tell your event production partner “why” you’re asking for it.
